Most broker time goes on status updates rather than deals. The pipeline exists so a client can see where every buyer stands without calling you, and so you can tell at a glance which buyer has gone quiet.
The six stages
What moves a buyer forward
A buyer advances on evidence, not enthusiasm. Signing an NDA, clearing verification, opening the financial tier, and asking a specific question about a number are all evidence. A long friendly call is not.
Spotting a stalled buyer
- Signed an NDA and opened nothing within a week.
- Opened the overview and never the financials.
- Asked no question that references a specific figure.
- Has not replied since you released documents.
A buyer who reads the financials and goes quiet has usually decided. Ask directly rather than waiting; the answer frees your client to move on.
What your client sees
Sellers see stage, buyer verification status, and activity dates. They do not see other buyers’ offer amounts, private notes you write, or your other clients. You choose per deal whether names are visible or buyers appear as initials.
Nudges that are not nagging
- One reminder before an offer expires, to the buyer only.
- A weekly digest to the seller instead of message-by-message alerts.
- A prompt when a document has sat unopened for five days.
Closing out a pipeline
When a deal closes, everything stays available to both sides for seven years: the executed NDA, every offer, the document log, and the closing pack. Buyers you lost stay in your workspace so the next listing in that sector starts with a warm list rather than a cold one.
